Payment and notes

Made in your browser. Nothing you type is sent to us or stored by us.

Nothing you type leaves your browser

There is no account and nothing to upload. The form, the preview and the PDF are made on your device, so we never receive your invoice, your client's details or your prices, and we keep nothing.

Tick Remember my details and your own name, address, logo and payment details are kept in this browser only, on this device, so next month's invoice starts filled in. It is off until you tick it, and unticking deletes them. Your client and your lines are never kept.

This page loads no ad tags. We count page views and downloads with Plausible, which uses no cookies and never sees what you type.

What a photography invoice should say

A client reads your invoice next to your quote. Use the same words, one line for each part, and there is nothing to ask about.

  • The shoot, by name and length

“Wedding photography, full day (8 hours)” or “Headshots, 10 people, half day”. The date of the shoot can go in the line too.

  • The licence, on its own line

For commercial work, name the usage: where (web, social, print), for how long, and if it is exclusive. A separate line shows the client what they are paying for, and makes a renewal easy to invoice next year.

  • The deposit, as a minus

Took a booking fee or retainer? Add a line “Deposit paid on booking” with a negative price, such as -500. The total is what is still owed, and the client sees the deposit was counted.

  • Travel, second shooter, extras

Mileage, a second photographer, extra hours, rush editing, prints and albums each get a line with a quantity, so 3 extra hours times your rate adds itself up.

  • Delivery and usage in the note

“Online gallery within six weeks” and “Images for personal use” in the note settle the two questions clients ask most.

Questions

How do I show a deposit or retainer?

As its own line with a negative price, for example “Deposit paid on booking”, quantity 1, price -500. The total drops by the deposit and shows what is still due.

Should I charge for the image licence separately?

For commercial clients, many photographers do: a creative fee for the shoot and a licence fee for the use. It makes the value of the images visible and gives you a clean line to renew. For weddings and portraits, one line is usually enough.

When should I send the invoice?

A deposit invoice when the client books, and the final one before or with the gallery. Some photographers ask for the balance before delivering the full set; say so in the note.

Can I put my logo on it?

Yes. Add a PNG or JPEG of your logo; it sits at the top left. A transparent PNG looks best on the white page.

Is it really free?

Yes. No account, no trial, no watermark, no limit on invoices. Make as many as you need.

Is anything I type stored or sent?

No. The invoice is made in your browser and the PDF is drawn on your device. Only if you tick Remember my details (it starts off) are your own details kept, in this browser. Untick it to delete them.

Which currencies and taxes can I use?

Any currency in use: pick it from the list or search by code or name. Amounts are written the way that currency is: 1,500.00 for dollars, 1.500,00 for euros, 1 500,00 for Swedish kronor. Name your tax (VAT, GST, sales tax) and set its rate; it is added to the subtotal. Leave the rate empty for no tax.

Can I keep my invoices and clients here?

No, this page keeps nothing but your own details, on your device. Keep the PDF you download. If you want your clients, quotes, invoices and reminders in one place, that is what Pinpal Jobs is for.
